Why plan reviews need functional evidence
At a plan reassessment, the NDIA looks for current evidence about how disability affects daily function and what supports are reasonable and necessary. A functional capacity assessment provides exactly this - an independent, occupational therapy view of function across daily living, mobility, self-care, communication, learning, social interaction and self-management.
Without up-to-date functional evidence, it is harder to justify existing supports, let alone an increase. An FCA gives the review a clear, current baseline.
When an FCA supports a change of circumstances
A change of circumstances - a functional decline, a new diagnosis, a hospital admission, a change in living arrangements or increased carer strain - can warrant a plan variation. An FCA documents what has changed and why the current plan no longer matches the person’s needs.
This is common when someone needs more support hours, new assistive technology, home modifications or a move toward supported independent living.
What the report should connect
A useful plan-review FCA does not just describe function - it links each barrier to a practical, reasonable-and-necessary recommendation tied to the participant’s goals. That makes it straightforward for the participant, support coordinator and NDIA to see why a support is needed.
It also flags where further specialist assessment (for example, complex assistive technology or home modifications) may be required so the plan can fund the right next step.
Timing: arrange it before your review date
Leave enough time for intake, the assessment and report writing before your plan reassessment. At Pinnacle OT, reports are typically provided within 10 business days of the completed assessment, and intake prioritises referrals with a confirmed review or discharge deadline.
As a rule of thumb, start the referral several weeks before the review so the evidence is ready when the conversation happens - not after a decision has already been made.
